Home Repairs Ministries Program Coordinator

Position Title: Program Coordinator
Reports to: Executive Director
Location: Duluth, GA
Type: Full-time

At Home Repairs Ministries, a call for help is rarely just about a leaking roof, broken HVAC system, unsafe floor, or plumbing problem. Often, the homeowner on the other end of the phone has been trying to figure out what to do for months—or even years—and doesn’t know where else to turn.

The Program Coordinator is often one of the first people they meet.

This person helps homeowners navigate the process from their first request for assistance through the completion of their repairs. It requires someone who can listen with compassion, communicate clearly, stay exceptionally organized, and make sure people and projects don’t get lost in the process.

But this role is also about building the systems behind that work.

HRM is a growing organization, and we’re looking for someone who can grow with us. The Program Coordinator will help manage the processes, technology, documentation, and workflows that allow our team to serve an increasing number of homeowners.

What You’ll Do

Homeowner Communication & Coordination

  • Serve as a primary point of contact for homeowners throughout the repair process.
  • Respond to homeowner calls, emails, and applications with warmth, patience, and professionalism.
  • Screen applicants for eligibility and collect required documentation.
  • Schedule home assessments and repair projects with homeowners, Project Managers, contractors, and trade partners.
  • Keep homeowners informed about project status, next steps, scheduling, and expectations.
  • Proactively follow up on outstanding information and help keep projects moving from application through completion.

Project & Program Coordination

  • Coordinate schedules and workflows across multiple homeowners and repair projects.
  • Track projects, outstanding tasks, deadlines, and next steps.
  • Prepare project files and assist with estimates, materials, deliveries, and project documentation.
  • Identify projects that have stalled or need attention and proactively follow up.
  • Coordinate volunteer opportunities and maintain required volunteer documentation.
  • Work closely with Project Managers to ensure they have the information and documentation needed to complete their work.
  • Help develop and improve processes as HRM’s project volume, staff, and programs grow.

Systems, Data & Reporting

The Program Coordinator helps ensure that HRM’s systems reflect what’s actually happening in the field.

  • Maintain accurate homeowner, project, and program information in Monday.com, Bloomerang, and Google Workspace.
  • Use Monday.com to actively manage workflows, project status, deadlines, responsibilities, and follow-up.
  • Maintain accurate records in Bloomerang and other organizational databases.
  • Identify missing information or documentation and proactively resolve gaps.
  • Maintain organized and complete homeowner and project files.
  • Collect and maintain eligibility information, demographics, project costs, photos, completion documentation, outputs, and other information required for grants and government-funded programs.
  • Work with leadership and grant/compliance staff to ensure program records are complete, timely, and ready for reporting, reimbursement requests, monitoring, or audits.
  • Support organizational dashboards and monthly, quarterly, and annual program reporting.
  • Help evaluate and improve systems and workflows as HRM adds programs, funding sources, staff, and project volume.

  • Is comfortable working extensively in technology and database systems.
  • Can follow established processes while also recognizing when a process could work better.
  • Is willing to handle the day-to-day details today while having the ability and desire to take on greater operational responsibility as HRM grows.

Qualifications

  • 3+ years of experience in program coordination, project coordination, construction operations, nonprofit administration, office management, or a related field.
  • Demonstrated ability to manage workflows, multiple projects, schedules, deadlines, and competing priorities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong technology skills and experience with CRM, project-management, database, or case-management systems.
  • Strong attention to detail and demonstrated ability to maintain accurate records and documentation.
  • Experience using Monday.com and/or Bloomerang strongly preferred.
  • Experience with government-funded programs, grant documentation, compliance, or reporting strongly preferred.
  • Demonstrated ability to improve processes and create systems that help a team manage increasing volume and complexity.
